Data Handling

1. Overview

This document describes how Quanta Syncs handles data across our time tracking and productivity platform. It covers collection, processing, storage, retention, and deletion for the web app, desktop app, and related services. For legal terms and privacy rights, see our Privacy Policy and Terms of Service.

2. Categories of Data We Handle

2.1 Account & profile

Email, name, password (hashed), profile picture, and organization/team membership. Used for authentication, account management, and support.

2.2 Time tracking data

Time entries, start/stop times, projects, tasks, manual edits, and break periods. Collected when you use the timer in the web or desktop app. Used for timesheets, reporting, and payroll-related features.

2.3 Screenshots

Periodic screen captures taken by the desktop app at configurable intervals while time tracking is active. Stored as images (e.g. WebP) with metadata (timestamp, active app/window when available). Used for activity verification and productivity context. You can disable or reduce frequency in settings; optional blur is available for privacy.

2.4 Application & website activity

Active application names, window titles, and (where enabled) URLs/domains of websites visited during tracked time. Used for productivity analytics and reporting. Collected only when the desktop or browser integration is active and you are tracking time.

2.5 Idle and usage data

System idle detection, session duration, and feature usage (e.g. which parts of the app you use). Used to improve accuracy of time tracking and product experience.

2.6 Technical & device data

IP address, browser/OS type, device identifiers where relevant for security or support. Used for security, fraud prevention, and troubleshooting.

3. How We Process Data

  • Provision of the service: Storing and syncing your data, generating reports, and powering dashboards and integrations.
  • Productivity insights: Aggregating time, app, and website data to produce analytics and productivity metrics for you and (where applicable) your organization.
  • Security and integrity: Authentication, access control, encryption in transit and at rest, and monitoring for abuse.
  • Support and operations: Responding to requests, debugging, and maintaining the platform.
  • Legal and compliance: Where required by law or to enforce our terms.

4. Storage and Security

Data is stored on secure infrastructure with encryption in transit (TLS) and at rest. Access is restricted to authorized personnel and systems. Screenshots and activity data are associated with your account and accessible according to your organization’s permissions.

5. Retention

We retain your data for as long as your account is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Specific retention periods may apply to certain categories (e.g. logs, backups) and will be aligned with our Privacy Policy and internal policies.

When you delete your account or request deletion, we delete or anonymize your personal data in line with our Privacy Policy, except where we must retain it for legal or regulatory reasons.

6. Your Choices and Rights

You can control screenshot frequency or disable screenshots, manage which activity data is collected (where the product allows), and use the in-app options to export or delete your data. 7. Changes

We may update this Data Handling document from time to time. The “Last updated” date at the top will reflect the latest version. Continued use of the service after changes constitutes acceptance of the updated practices.
